You upload your documents, TraceFolio processes them in the background, and you receive a downloadable PDF report together with a verification record.

You can upload PDFs, Word documents (DOCX), plain text files (TXT) and images such as PNG or JPG screenshots and scans.

Up to 20 files can be included in a single report.

Yes. Screenshots in PNG or JPG format are supported and are read using OCR (optical character recognition) so the text within them can be included in the analysis.

Yes. Scanned pages uploaded as images or as PDFs are read with OCR so their text content is extracted and used in the report.

Clearer, higher-resolution scans will generally produce more accurate extraction.

Yes, PDF is one of the four supported formats, alongside DOCX, TXT and images.

Yes, DOCX files are supported directly.

Yes, plain TXT files are supported directly.

You can upload up to 20 files per report.

If you have more material than this, choose the documents most relevant to the dates, decisions or communications you want the report to cover.

Most reports take a few minutes to process.

Larger evidence sets, or files that need extensive OCR, will take longer.

Yes. Processing runs server-side in a background queue, so closing the browser tab does not stop or affect your report.

You can return later to check progress and download the finished report once it is ready.

If processing is interrupted, the work is retried automatically and resumes without you needing to restart the report.

Yes. The output is a downloadable PDF, along with a verification record that confirms the PDF matches what was processed.

Pricing is pay per report, with no subscription. A Quick report is £4.99, a Detailed report is £9.99, and an Extended report is £19.99.

An evidence timeline is a chronological list of events drawn from your uploaded documents, arranged by date so you can see how a situation developed over time.

It appears as the Chronological Timeline section of your report, alongside a separate Important Dates section.

A source-cited report is one where every finding is linked back to the specific document, page or passage it came from, rather than presented as an unsupported summary.

This lets you check any claim in the report by going straight to the underlying evidence, listed in the Source References section.

TraceFolio reads the dated content across your uploaded documents and lists the significant dates it finds in the Important Dates section, with each one linked to its source.

Yes. The Contradictions and Inconsistencies section flags places where documents disagree with each other.

It classifies the type of relationship it finds, for example distinguishing a genuine material contradiction from a later document that simply supersedes or updates an earlier one.

No. TraceFolio does not decide which account is true or assign blame.

It sets out what each document says and how the documents relate to one another, with sources cited, so you or another reader can reach your own conclusions.

Where two documents disagree, TraceFolio records the disagreement in the Contradictions and Inconsistencies section and classifies the type of relationship between them, such as a direct contradiction or a supersession.

It does not determine which document is correct.

Yes. The Missing or Uncertain Information section lists gaps, such as an expected document, date or response that does not appear anywhere in the uploaded material.

No. Where information is missing, TraceFolio notes the gap rather than filling it in with an assumption or a guess.

Yes. Every finding in the report cites the source file, and where relevant the page or passage, so you can trace it back to the original document.

A report includes an executive summary, Key Facts, Important Dates, Chronological Timeline, Contradictions and Inconsistencies, Missing or Uncertain Information, Source References, and Verification.

Yes. You can upload emails, letters, messages and photos relating to repair requests, and TraceFolio will organise them into a timeline and summary with sources cited.

Yes. Upload the correspondence and any related documents, and the Chronological Timeline section will lay out when each request, response and action took place, in date order.

Yes. If you upload correspondence and records from both the landlord and any contractor, TraceFolio will look across all of it together and flag where the accounts agree, disagree or leave gaps.

Yes. You can upload the tenancy agreement, check-in and check-out reports, correspondence and photos, and TraceFolio will produce a source-cited summary and timeline of the dispute.

It does not tell you how much you are entitled to or predict the outcome of a scheme adjudication.

It means anyone holding the verification reference for a report can check, on the public verification page, that the delivered PDF matches the record TraceFolio created, without needing to trust TraceFolio's word alone.

A Certified Execution Record is the certification issued through NexArt for your report, confirming that the recorded evidence manifest, processing metadata and the exact report file are cryptographically linked together.

NexArt is the independent service TraceFolio uses to issue the Certified Execution Record for each report.

NexArt receives cryptographic hashes and processing metadata about your report, never the documents themselves.

Verification proves that the delivered PDF is cryptographically linked to the recorded evidence manifest, the processing metadata and the exact report file that was generated.

In other words, it confirms the report you have is the one that was actually produced and has not been altered since.

No. Verification does not prove that your uploaded documents are genuine or that the underlying claims within them are true.

It only confirms the integrity of the report that was produced from whatever was uploaded.

No. Verification does not prove that every interpretation in the report is correct, or that any legal conclusion follows from it.

It confirms the report's integrity, not the accuracy of every judgement made while summarising complex material.

Yes. Anyone holding the verification reference can check it on the public verification page, which is useful if you want to show a third party, such as an ombudsman or the other party to a dispute, that the report has not been altered.

You can take the verification reference for your report to the public verification page, which will confirm whether the file matches the hashes recorded for the exact report that was issued.

If the PDF has been altered since it was generated, the hashes will not match.

No. Your uploaded documents and your report are visible only to the account that owns them.

No. NexArt, which issues the Certified Execution Record, receives only cryptographic hashes and processing metadata about your report, never the documents themselves or their content.

The public verification page shows hashes, version information and timestamps relating to your report.

It does not show the contents of your documents or of your report.

Source documents are deleted 24 hours after processing is complete.

When source documents are deleted 24 hours after processing, the cryptographic hashes and the verification record are retained.

This means the report and its verification remain available and checkable, even though the original files are no longer stored.

Your documents are processed by TraceFolio's own systems to generate the report, and NexArt separately processes only the cryptographic hashes and metadata needed to issue the Certified Execution Record.

No. Reports are visible only to the owning account.

Someone with your verification reference can check that a report's PDF is authentic on the public verification page, but this only shows hashes, versions and timestamps, not the report's contents.
