Evidence for insurance claims
Insurance claims, whether for home, motor, travel or another type of cover, often involve a long paper trail of forms, emails, photos and assessor reports that can be hard to follow once a claim is delayed or partly declined. Insurers and the Financial Ombudsman Service typically want to know the sequence of events and exactly what was said at each stage. TraceFolio reads the documents you upload and produces a dated timeline with contradictions and gaps flagged, and every fact linked to its source.
When this page is relevant
- A claim has been delayed, partly declined or disputed
- You have correspondence from the insurer, a loss adjuster and yourself in different formats
- You are preparing to escalate to the Financial Ombudsman Service or a complaints department
- You want a clear record of what was submitted and when, in case anything is later disputed
Evidence you may already have
- The insurance policy document
- The claim form and any submission confirmation
- Emails or letters from the insurer or loss adjuster
- Photos or videos of damage or loss
- Repair quotes or invoices
- Any decline or partial settlement letter
- Previous correspondence with the insurer about the same policy
Uploads can be PDFs, Word documents, plain text files, photographs and screenshots. Scanned letters and images are read using text recognition, and the page or image each finding came from is recorded.
What TraceFolio does with that evidence
- Extracts the policy number, claim reference and key dates from your documents
- Builds a timeline from claim submission through to the current status
- Flags where a decision letter's stated reason conflicts with earlier correspondence
- Notes where a document referenced by the insurer (such as a survey) was not supplied
- Cites the file and passage behind each fact in the report
A partially declined water damage claim
- 1.A policyholder uploads the policy document, the claim form, an assessor's email, and the decline letter.
- 2.TraceFolio extracts the claim date, the assessor's visit date, and the specific reason given for declining part of the claim.
- 3.The timeline shows the assessor's email described the damage as 'consistent with a burst pipe', while the decline letter cites 'gradual wear'.
- 4.The Contradictions section highlights this mismatch between the assessor's own wording and the insurer's decision letter.
- 5.The policyholder uses the report to structure a written complaint to the insurer before considering the Financial Ombudsman Service.
What the finished report contains
- Executive summary of the claim and its outcome to date
- Key Facts including policy and claim reference numbers
- Important Dates for submission, assessment and decision
- Chronological Timeline of the claim's progress
- Contradictions and Inconsistencies between assessor and decision correspondence
- Missing or Uncertain Information, such as referenced but unsupplied documents
- Source References for every fact
- Verification record for the report itself
The report is a downloadable PDF. Every finding points back to the document it came from, and the report carries a verification record so a third party can check that the file they are reading is the one that was produced. See what is in an evidence report for a section-by-section description.
What TraceFolio can identify
- The dates a claim was submitted, assessed and decided
- The stated reasons given at each stage of the claim
- Where different documents give conflicting reasons or descriptions
- Gaps where a referenced document has not been supplied
What it cannot determine
- Whether the insurer's decision was correct under the policy terms
- The cause of the damage or loss itself
- Whether an ombudsman would uphold a complaint
- The value of a claim or appropriate settlement figure
TraceFolio organises and reports on the documents you supply. It is not legal advice, it does not decide who is right, and it cannot confirm that a supplied document is genuine. Where the evidence is silent, the report says so in Missing or Uncertain Information rather than filling the gap.
Privacy and verification
Your report is visible only to your account. Source documents are deleted 24 hours after processing, while the hashes and the verification record are kept so the report stays checkable. Certification receives cryptographic fingerprints and processing details, never the documents themselves.
The verification page explains in plain language what verification does and does not prove, and security and privacy covers storage, deletion and who processes your data.
Questions people ask
Can this tell me if my insurer wrongly declined my claim?
No, it does not assess whether a decision was correct under your policy. It shows what the documents say at each stage so inconsistencies are easier to spot.
Should I use this before or after a decline letter?
Either can work: some people build a report as they go to keep track of dates, while others build one once a claim is disputed to prepare for an appeal or complaint.
Can I include policy documents that are quite long?
Yes, PDF and DOCX documents of typical policy length can be uploaded, and TraceFolio will extract the relevant dates and clauses it finds.
What happens to my documents after the report is made?
Source documents are deleted 24 hours after processing, while the verification record and file hashes are kept so the report can still be checked later.
