Evidence for tenancy disputes
Tenancy disputes, whether about rent arrears, notice periods, access for viewings, or disputed terms, tend to hinge on exactly what was communicated and when. Even without any software, writing out a plain chronology from your paperwork is one of the most useful things a tenant or landlord can do before a disagreement escalates. TraceFolio reads the notices, emails and agreements you upload and produces a dated timeline with each fact linked to its source document, so nothing has to be reconstructed from memory.
When this page is relevant
- You have received or issued a notice and want the dates and wording checked against your records
- There is a disagreement about what was agreed verbally versus what is in writing
- Multiple people (agent, landlord, tenant) have sent conflicting messages
- You are preparing for mediation, a tribunal or a tenancy deposit scheme referral
Evidence you may already have
- The tenancy agreement and any addendums
- Notices to quit or section notices
- Rent statements or payment confirmations
- Emails or letters about arrears, access or complaints
- Text or app messages with the landlord or agent
- Inspection or check-in/check-out reports
- Any court or tribunal paperwork already received
Uploads can be PDFs, Word documents, plain text files, photographs and screenshots. Scanned letters and images are read using text recognition, and the page or image each finding came from is recorded.
What TraceFolio does with that evidence
- Pulls out key dates, such as notice service dates and response deadlines
- Lists the parties and terms referenced across different documents
- Builds a single timeline merging messages from multiple sources
- Highlights where two documents describe the same event differently
- Notes where a referenced document (such as an attachment) was not supplied
A disputed notice period
- 1.A tenant uploads the tenancy agreement, a notice letter from the landlord, and email exchanges that followed.
- 2.TraceFolio extracts the notice date, the notice period stated in the letter, and the tenancy start date from the agreement.
- 3.The timeline shows the notice was served earlier than the landlord's later email claims.
- 4.The Contradictions section flags the mismatch between the letter's date and the email's description of events.
- 5.The tenant uses the report as a factual summary when contacting a tenancy relations service.
What the finished report contains
- Executive summary of the tenancy dispute
- Key Facts including parties, addresses and tenancy dates
- Important Dates for notices, rent due dates and responses
- Chronological Timeline across all supplied documents
- Contradictions and Inconsistencies between accounts
- Missing or Uncertain Information
- Source References for every fact
- Verification record confirming the report matches the processed evidence
The report is a downloadable PDF. Every finding points back to the document it came from, and the report carries a verification record so a third party can check that the file they are reading is the one that was produced. See what is in an evidence report for a section-by-section description.
What TraceFolio can identify
- The dates notices or letters were sent or received, as stated in the documents
- Whether the notice period stated matches what the agreement requires
- Where different documents give conflicting accounts of the same event
- Gaps where expected correspondence appears to be missing
What it cannot determine
- Whether a notice was legally valid
- Whether either party breached the tenancy agreement
- What was said in any phone call or in-person conversation not documented
- The outcome of a tribunal or court hearing
TraceFolio organises and reports on the documents you supply. It is not legal advice, it does not decide who is right, and it cannot confirm that a supplied document is genuine. Where the evidence is silent, the report says so in Missing or Uncertain Information rather than filling the gap.
Privacy and verification
Your report is visible only to your account. Source documents are deleted 24 hours after processing, while the hashes and the verification record are kept so the report stays checkable. Certification receives cryptographic fingerprints and processing details, never the documents themselves.
The verification page explains in plain language what verification does and does not prove, and security and privacy covers storage, deletion and who processes your data.
Questions people ask
Can TraceFolio tell me if a notice was valid?
No, it does not assess legal validity. It can show the dates and wording stated in your documents so you or an adviser can check them against the relevant rules.
What formats can I upload?
You can upload PDF, DOCX, TXT files and images such as scanned letters or screenshots, up to 20 files per report. Scanned documents are read using OCR.
How long are my documents kept?
Source documents are deleted 24 hours after processing. A verification record and file hashes are retained so the report's integrity can still be checked later.
