Evidence for travel and holiday claims

Travel disputes, such as delayed or cancelled flights, cancelled package holidays, or disputed accommodation refunds, tend to involve booking confirmations, cancellation notices and a stream of customer service emails that are easy to lose track of. Airlines, travel companies and claims processes typically want exact dates, flight or booking numbers, and copies of the relevant confirmations. TraceFolio reads these documents and produces a timeline showing the booking, the disruption, and the response, with every fact linked to its source.

When this page is relevant

  • A flight or holiday was delayed, cancelled or significantly changed
  • You are pursuing a refund, rebooking or compensation claim
  • You have booking confirmations, emails and receipts across several providers
  • You want a clear record before submitting a claim through an airline, travel company or claims service

Evidence you may already have

  • Booking confirmation for flights, accommodation or the package
  • Cancellation or delay notification emails
  • Boarding passes or check-in confirmations
  • Receipts for costs incurred because of the disruption, such as meals or an extra night's stay
  • Correspondence with the airline or travel company
  • Insurance policy documents, if a travel insurance claim is also involved
  • Any compensation offer received

Uploads can be PDFs, Word documents, plain text files, photographs and screenshots. Scanned letters and images are read using text recognition, and the page or image each finding came from is recorded.

What TraceFolio does with that evidence

  • Extracts booking references, dates and times from confirmations
  • Places the disruption notice and any rebooking into the timeline
  • Flags where the stated reason for delay or cancellation differs between messages
  • Lists additional costs claimed alongside their supporting receipts
  • Notes where a referenced document, such as a rebooking confirmation, was not supplied

A cancelled flight with disputed compensation

  1. 1.A traveller uploads the original booking confirmation, the cancellation email, a rebooking confirmation, and hotel and meal receipts.
  2. 2.TraceFolio extracts the original flight time, the cancellation notice time, and the new departure time from the rebooking.
  3. 3.The timeline shows the cancellation was notified less than 24 hours before the original departure.
  4. 4.The report lists the claimed hotel and meal costs alongside the receipts that support them.
  5. 5.The traveller submits the report alongside the airline's compensation claim form.

What the finished report contains

  • Executive summary of the disruption and the claim
  • Key Facts including booking references and dates
  • Important Dates for booking, disruption and any rebooking
  • Chronological Timeline of the trip and disruption
  • Contradictions and Inconsistencies between provider communications
  • Missing or Uncertain Information, such as unsupplied confirmations
  • Source References for every fact

The report is a downloadable PDF. Every finding points back to the document it came from, and the report carries a verification record so a third party can check that the file they are reading is the one that was produced. See what is in an evidence report for a section-by-section description.

What TraceFolio can identify

  • The original and revised travel dates and times, as documented
  • How much notice was given before a cancellation or change
  • Additional costs claimed and whether receipts support them
  • Inconsistencies between different communications from the provider

What it cannot determine

  • Whether you are entitled to compensation under any specific scheme or regulation
  • The reason for the delay or cancellation, beyond what is stated in your documents
  • The likely outcome of a claim or dispute process
  • Whether an offered settlement is fair

TraceFolio organises and reports on the documents you supply. It is not legal advice, it does not decide who is right, and it cannot confirm that a supplied document is genuine. Where the evidence is silent, the report says so in Missing or Uncertain Information rather than filling the gap.

Privacy and verification

Your report is visible only to your account. Source documents are deleted 24 hours after processing, while the hashes and the verification record are kept so the report stays checkable. Certification receives cryptographic fingerprints and processing details, never the documents themselves.

The verification page explains in plain language what verification does and does not prove, and security and privacy covers storage, deletion and who processes your data.

Questions people ask

Can this calculate how much compensation I'm owed?

No, it does not calculate entitlements or apply compensation rules. It organises the dates, notices and receipts so you can apply the relevant rules yourself or with an adviser.

What if my booking confirmation is a screenshot from an app?

That's fine, image uploads including app screenshots are read using OCR, so the booking details can still be extracted.

Can I combine a flight claim and a hotel claim in one report?

Yes, as long as the total stays within the 20 file limit, you can upload documents relating to more than one part of the same trip and they will appear in one combined timeline.

How is my payment handled?

Reports are paid for individually with no subscription, at £4.99, £9.99 or £19.99 depending on the report depth you choose.
