Evidence for workplace grievances
Workplace grievances, whether about conduct, treatment at work or a dispute with a manager, are usually stronger when they are built around specific, dated incidents rather than general impressions. HR processes and employment tribunals both expect a clear account of what happened, when, and who said what. TraceFolio reads emails, messages and meeting notes you already have and produces a factual timeline with sources cited, which you can review before deciding how to word your own grievance.
When this page is relevant
- You are preparing to raise a formal grievance and want your account to match your written evidence
- There have been several incidents over time that are easy to lose track of
- You have emails, messages and notes from meetings that need putting in order
- You want to check for gaps or inconsistencies before submitting anything formally
Evidence you may already have
- Emails between you and colleagues or managers
- Messages from workplace chat tools, saved as screenshots or exports
- Your own contemporaneous notes from meetings
- Formal meeting minutes, if any were shared with you
- Performance reviews or written warnings, if relevant
- The company's grievance or conduct policy
- Any previous complaint or grievance correspondence
Uploads can be PDFs, Word documents, plain text files, photographs and screenshots. Scanned letters and images are read using text recognition, and the page or image each finding came from is recorded.
What TraceFolio does with that evidence
- Extracts the date and content of each documented incident
- Places all incidents from different sources into one timeline
- Flags where two records of the same meeting or conversation differ
- Notes where an incident is referred to but no supporting document exists
- Cites the file and passage behind each extracted fact
A pattern of unaddressed comments in team meetings
- 1.An employee uploads three months of relevant emails, their own meeting notes, and a screenshot of a team chat exchange.
- 2.TraceFolio extracts the dates and descriptions of each incident mentioned across the documents.
- 3.The timeline shows four separate dated incidents, with two follow-up emails asking a manager to address the behaviour.
- 4.The Missing or Uncertain Information section notes that one incident is referenced in an email but no earlier record of it exists.
- 5.The employee uses the timeline as a factual reference while writing their formal grievance letter.
What the finished report contains
- Executive summary of the pattern of events
- Key Facts, such as roles, dates and locations mentioned
- Important Dates for each documented incident
- Chronological Timeline built from all supplied sources
- Contradictions and Inconsistencies between different accounts
- Missing or Uncertain Information, including undocumented incidents
- Source References for every fact in the report
The report is a downloadable PDF. Every finding points back to the document it came from, and the report carries a verification record so a third party can check that the file they are reading is the one that was produced. See what is in an evidence report for a section-by-section description.
What TraceFolio can identify
- The dates and content of incidents as recorded in your documents
- Whether the same incident is described differently in different records
- Gaps where an incident is mentioned but not independently documented
- The overall frequency and pattern of documented incidents
What it cannot determine
- Whether any policy or workplace conduct rule was breached
- Whether a grievance is likely to succeed
- What was said in conversations that were never written down
- The intent or motivation behind anyone's actions
TraceFolio organises and reports on the documents you supply. It is not legal advice, it does not decide who is right, and it cannot confirm that a supplied document is genuine. Where the evidence is silent, the report says so in Missing or Uncertain Information rather than filling the gap.
Privacy and verification
Your report is visible only to your account. Source documents are deleted 24 hours after processing, while the hashes and the verification record are kept so the report stays checkable. Certification receives cryptographic fingerprints and processing details, never the documents themselves.
The verification page explains in plain language what verification does and does not prove, and security and privacy covers storage, deletion and who processes your data.
Questions people ask
Can TraceFolio decide if I have a strong grievance?
No, it does not assess the strength of a case or give employment advice. It organises the written evidence you supply so the sequence of events is clear.
Is it confidential?
Source documents are deleted 24 hours after processing, and only a verification record and file hashes are retained afterwards, not the document content.
Can I upload notes I typed myself, not official documents?
Yes, your own contemporaneous notes can be uploaded as TXT, DOCX or PDF, and will be included in the timeline alongside other evidence.
Should I speak to HR or a union before using this?
That is your decision to make, since TraceFolio does not give employment or legal advice. Many people use it to organise evidence before that conversation, not instead of it.
