Use case
Evidence for warranty and guarantee disputes
Warranty and guarantee disputes usually turn on three things: when the item was bought, when the fault appeared, and what was said when a repair or replacement was requested. It is common for these details to be spread across a receipt, a warranty card, several emails and maybe a repair shop's assessment, making it easy to lose the thread. TraceFolio reads these documents and produces a timeline showing the purchase, fault, and each response, with every fact linked to the source it came from.
When this page is relevant
- A manufacturer or retailer has refused a warranty repair or replacement
- You need to show the item was still within its warranty period when the fault appeared
- You have correspondence with more than one party, such as a retailer and a manufacturer
- You are preparing to escalate through a consumer body or small claims process
Evidence you may already have
- Proof of purchase, such as a receipt or order confirmation
- The warranty or guarantee document
- Emails or messages reporting the fault
- Photos or videos showing the fault
- Any independent repair assessment or engineer's report
- The retailer's or manufacturer's response to your claim
- Previous repair history for the same item, if relevant
Uploads can be PDFs, Word documents, plain text files, photographs and screenshots. Scanned letters and images are read using text recognition, and the page or image each finding came from is recorded.
What TraceFolio does with that evidence
- Extracts the purchase date and warranty period from your documents
- Extracts the date the fault was first reported
- Builds a timeline showing whether the fault was reported within the stated warranty period
- Flags contradictions, such as a retailer disputing a purchase date that appears on your receipt
- Notes where a referenced assessment or report has not been supplied
A washing machine fault reported near the end of its warranty
- 1.A customer uploads the original receipt, the manufacturer's warranty terms, an email reporting the fault, and the manufacturer's refusal email.
- 2.TraceFolio extracts the purchase date, the warranty length stated in the terms, and the date the fault was reported.
- 3.The timeline shows the fault was reported eleven months into a twelve-month warranty, based on the supplied dates.
- 4.The Contradictions section flags that the refusal email states the item was 'outside warranty', which conflicts with the calculated period.
- 5.The customer uses the report to write a follow-up complaint referencing the specific dates involved.
What the finished report contains
- Executive summary of the warranty claim and its status
- Key Facts including purchase date, item and warranty length
- Important Dates for purchase, fault report and response
- Chronological Timeline of the claim
- Contradictions and Inconsistencies between the warranty terms and the response received
- Missing or Uncertain Information, such as unsupplied assessments
- Source References for every fact
The report is a downloadable PDF. Every finding points back to the document it came from, and the report carries a verification record so a third party can check that the file they are reading is the one that was produced. See what is in an evidence report for a section-by-section description.
What TraceFolio can identify
- The purchase date and warranty period, as stated in your documents
- The date the fault was first reported
- Whether the fault was reported within the documented warranty period
- Where a response contradicts the dates or terms in your other documents
What it cannot determine
- Whether the fault is covered under the specific terms of the warranty
- The cause of the fault
- Whether you are entitled to a repair, replacement or refund
- The outcome of a consumer body or court claim
TraceFolio organises and reports on the documents you supply. It is not legal advice, it does not decide who is right, and it cannot confirm that a supplied document is genuine. Where the evidence is silent, the report says so in Missing or Uncertain Information rather than filling the gap.
Privacy and verification
Your report is visible only to your account. Source documents are deleted 24 hours after processing, while the hashes and the verification record are kept so the report stays checkable. Certification receives cryptographic fingerprints and processing details, never the documents themselves.
The verification page explains in plain language what verification does and does not prove, and security and privacy covers storage, deletion and who processes your data.
Questions people ask
Can TraceFolio confirm whether my item is still under warranty?
It can show the purchase date and warranty length as stated in your documents and calculate the period they describe, but it does not interpret the specific terms and conditions for you.
What if I've lost my original receipt?
You can still build a report using other evidence such as an order confirmation email or bank statement, and the report will note where a formal receipt was not supplied.
Can I upload a repair shop's written assessment?
Yes, PDF, DOCX and TXT documents such as a repair assessment can be uploaded, and any dates or conclusions in it will be included in the timeline.
